Title: Billing / Front Desk Specialist-Full time-Bilingual Spanish
Reports to: Physical Therapist

 

Summary:

We are looking for a competent billing and front desk specialist to undertake a variety of financial and non-financial tasks. You will play a vital role in the connection between health care providers, patients and insurance companies. The ideal candidate will coordinate front desk reception tasks and patient intake processes for high-volume clinic serving a diverse population of adults and youth on the south side of Milwaukee.


Responsibilities:

Patient/Customer Service

  • Maintain an environment conducive to patient comfort and confidentiality
  • Oversee patient intake process including, but not limited to, verify insurance benefits, collect monies, scan documentation and assist patients as needed
  • Answer calls from patients, doctors offices, insurance and billing companies
  • Assist clients with all clinic and billing paperwork
  • Perform clerical duties such as handling correspondence and scheduling appointments
  • Accurately balance daily/weekly total receipts, transmit daily credit card payments in accordance with the guidelines

Billing

  • Manage the status of accounts, outstanding balances and identify inconsistencies
  • Issue and post bills, receipts and invoices
  • Ensure all clients remain informed on their outstanding debts and deadlines
  • Provide solutions billing issues for clients
  • Issue monthly customer statements
  • Submit invoices by electronic data interchange
  • Manage detailed, specifically-coded information while maintaining patient confidentiality and information security
  • Perform efficient follow up with insurance companies and patients
  • Accurate record keeping

Medical Office Coordination

  • Participate in the development and improvement of clinic and front desk procedures
  • Organize and coordinate ordering of front desk supplies and forms
  • Ensures professional communication between providers, front desk and patients
  • Perform marketing calls to physician offices and local businesses to promote services
  • Initiate marketing opportunities to promote clinic services with businesses, schools and wellness centers

Medical Information Management

  • Promote 100% accuracy and efficiency in all front desk procedures including inputting information following HIPAA requirements
  • Daily scanning, data entry and troubleshooting of patient paperwork using electronic medical records
  • Assist with daily processing of incoming records and records requests using an electronic medical records system
  • Assist patients, providers and staff with insurance questions.
  • Ability to communicate with billing company about insurance, billing and collections

Qualifications

  • Proficiency in English and Spanish.
  • Ability to handle multiple situations and tasks in high patient volume environment
  • Excellent communication skills
  • Strong reception and administrative skills
  • Willingness and ability to learn quickly and adapt to a variety of situations
  • Able to work with people from diverse ethnic, cultural, gender and socioeconomic backgrounds
  • Motivated to complete additional duties as time allows while working both independently and as a member of a team
  • High degree of attention to detail and trustworthiness.
  • Ability to quickly adapt to new technology and software, including electronic medical records systems and windows based programs
  • Medical office or medical terminology background preferred 
  • Adherence to laws and best practices in regards to dealing with customers and data. Comfortable dealing with numbers and the processing of financial information.
